The Customer
The customer is the largest private owner of partnership correctional, detention, and residential re-entry facilities in the U.S. They have worked as a partner for the U.S. government for over three decades and operate high-quality corrections and detention centers.
The Challenge
The U.S. Marshals coordinate the scheduling and secure handling of over 200 thousand prisoners per year in federal custody, transporting them to detention facilities, courts, and correctional institutions for a variety of reasons, such as to testify at a trial, serve a sentence at a facility, transfer between institutions, pretrial hearings, competency examinations, medical studies, and observations.
Before transiting a prisoner, filling USM 553-Prisoner in Transit Medical Summary form is mandatory. These forms capture their medical summary with details of current medical issues and past medical history. In line with the medical conditions of transferees, the staff needs to have medical supplies to provide in-transit care, if required. In addition, other forms required for administrative processes are also needed. To manage prisoners’ health details, the customer uses Altera TouchWorks EHR.
Due to the varied information in the Prisoner Transit Summary forms and the subsequent administrative guidelines, processing paperwork manually at a scale tends to become inefficient, error-prone, and cumbersome.
To bring greater efficiency into the process, the customer is looking for a solution that would enable the generation of standard forms using clinical data from the EHR. We were involved in the implementation, setting up, and mapping of relevant PDF files as per the business requirements. Multiple workflows were configured to allow single sign-physicians integration with the EHR and to allow the physicians to access forms within their workflow. The customer was provided with the license to use the FormsAsyst solution. After initial implementation and knowledge transfer, the client’s I.T. team could use the solution seamlessly and implement different forms independently. Team HealthAsyst provided annual maintenance and was on standby to attend to feature addition requests.
